1. Who this policy covers

This Privacy Policy applies to Audio Visual Australia Pty Ltd (ABN 99 701 429 414, ACN 701 429 414), referred to in this policy as we, us or our. It covers personal information we collect through this website, by email, and in the course of quoting for, delivering and supporting audio visual systems.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) contained in that Act.

2. What personal information we collect

We collect only the information we need to respond to an enquiry and to deliver our services. This ordinarily includes:

• Contact details — your name, email address, organisation and the location of the site you are enquiring about.
• Enquiry and project information — the content of the messages you send us, room details, plans, drawings and any technical requirements you provide.
• Service records — correspondence, site notes, quotations, configuration records and maintenance history relating to work we carry out for you.
• Technical information — limited information generated automatically when this website is served, such as the IP address of the requesting device, browser type and the pages requested, held by our hosting provider for security and reliability purposes.

We do not seek sensitive information as defined in the Privacy Act 1988, and we ask that you do not send it to us. If you provide personal information about another person, such as a site contact, you must be authorised to do so and should make them aware of this policy.

3. How we collect personal information

Where it is reasonable and practicable, we collect personal information directly from you: through the contact form on this website, through email to [email protected], during site surveys and meetings, and in the course of performing a contract. We may also receive your details from a builder, architect, project manager or head contractor engaging us on a project you are involved in.

4. Why we collect, hold, use and disclose it

We use personal information for the purposes for which it was provided and for directly related purposes you would reasonably expect, including to:

• respond to enquiries and prepare quotations and system designs;
• plan, deliver, commission and document installation work;
• provide service, maintenance and warranty support;
• issue invoices and maintain financial and business records;
• coordinate with other parties on a project where necessary to complete the work; and
• meet our legal, insurance and record-keeping obligations.

We do not sell personal information, and we do not use it for direct marketing without a clear opportunity to opt out.

5. Disclosure to third parties

We may disclose personal information to:

• suppliers, subcontractors and equipment manufacturers where necessary to deliver or warrant a system;
• other parties engaged on the same project, such as head contractors, electrical contractors or your IT provider, where coordination requires it;
• professional advisers, insurers and our accountants; and
• a person or body to whom we are required or authorised by Australian law to disclose it.

Some of our service providers, including website hosting and email providers, may store data on servers located outside Australia. Before disclosing personal information to an overseas recipient we take steps that are reasonable in the circumstances to ensure the recipient does not breach the Australian Privacy Principles in relation to that information, consistent with APP 8.

6. Cookies and this website

This website is a static site. It does not set advertising or analytics cookies, does not embed third-party trackers, and does not require you to create an account. Our hosting provider may set strictly necessary cookies and retain short-term server logs for security, abuse prevention and delivery of the site.

You can configure your browser to refuse or delete cookies. Doing so will not affect your ability to read this website.

7. Storage, security and retention

We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. Those steps include restricting access to project records to the people who need them, using reputable hosting and email providers, and keeping devices and accounts secured.

We retain personal information only for as long as it is needed for the purposes described above, or for as long as we are required to keep it under Australian law — for example, records connected with a contract, warranty period or tax obligation. When information is no longer required and we are not required to retain it, we take reasonable steps to destroy it or ensure it is de-identified.

No method of transmission or storage is completely secure. Email in particular is not a secure channel, and you should consider that before sending sensitive material to us.

8. Accessing and correcting your information

Under APP 12 and APP 13 you may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Write to [email protected] and describe what you are seeking.

We will respond within a reasonable period. We may need to verify your identity before releasing information. Access is provided free of charge, although we may charge a reasonable cost for supplying it in a particular format. If we refuse access or a correction, we will explain why in writing and tell you how to complain.

9. Complaints

If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us first at [email protected]. Set out what happened and how you would like it resolved. We will acknowledge your complaint, investigate it, and give you a written response within a reasonable period.

If you are not satisfied with our response, you may refer the complaint to the Office of the Australian Information Commissioner (OAIC), which oversees compliance with the Privacy Act 1988 and can be contacted through its published complaint channels.

10. Notifiable data breaches

If we become aware of a data breach involving personal information that is likely to result in serious harm, we will assess it and, where the Notifiable Data Breaches scheme under Part IIIC of the Privacy Act 1988 applies, notify the affected individuals and the Office of the Australian Information Commissioner as required.

11. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or in the law. The current version is always the one published on this page, and the date at the top shows when it was last revised.
